This letter confirms our understanding of the terms of our engagement and the type and limitations of the services that we will provide (for the IT project proposal template).

Purpose, Scope, and Deliverables

We will provide IT services, including a one-time IT systems audit and ongoing IT system administration.

Proposal Summary

IT Systems Audit (On Acceptance) - $3000

We will perform a comprehensive review of your systems to better understand how your organization shares and stores information. Our focus will be on examination and testing in the following key areas:

  • Systems architecture
  • Business process mapping
  • User identity management
  • Operating systems configurations
  • Security and anti-virus controls
  • Database access controls
  • Network controls
  • Privileged access controls
  • Logging and auditing systems
  • Backup and restore processes

Though the emphasis of the audit will be on the IT components themselves, we may conduct brief interviews with key users or information owners. We also may inquire with the general user community to better understand their expectations and acceptance of your systems.

System Administration (Monthly Recurring) - $500/month

The reliability of your computer systems is essential to your daily work. We will manage all of your organization’s servers, network equipment, and IT infrastructure to ensure that they are always running smoothly and efficiently.

Our system administration services include:

  • Monitoring of overall system health
  • Application of updates, patches, and changes
  • Management of user account information
  • Documentation of system configuration
  • Routine system performance tuning
  • Network infrastructure upkeep
  • Implementation of backups
  • Technical support and troubleshooting
  • Maintenance of security policies

Our IT experts are available 24/7 to ensure that your systems operate flawlessly and systems issues never impede your work.

On Acceptance $3,000.00

IT Systems Audit $3,000.00

Monthly Recurring 12 x $500.00

System Administration Monthly $500.00

All fees include tax.

Period of Performance

The project will begin on (insert date) and ends on (insert date). No work will take place outside of this time frame unless formally agreed by both parties.


During the course of the project, any information we acquire will be subject to strict confidentiality requirements. This information will not be disclosed to other parties except as required or allowed for by law, or with the client’s express consent.

Fee Arrangement

The fee is based on the amount of time and the level of staff expected to complete the IT services as agreed. This fee arrangement will be subject to change if the following should occur: (list circumstances which may change the costs of providing the services).

Liability Limitation

Our liability is limited by a scheme approved under the Professional Standards Legislation. Further information on the scheme is available from the Professional Standards Councils’ website.

Deliverable Ownership

All original documents obtained from the client shall remain property of the client. However, we reserve the right to keep a reasonable number of copies of the originals for our records.

Our engagement may result in the production of deliverables, including hard copy and electronic documents. These documents will be provided to the client but will remain the property of the consulting firm.

Terms of Service

IT Systems Audit

In order to complete the audit on time, the client agrees to provide us with full access to your existing systems and employees for interviews.

Any additional work resulting from this engagement will be engaged under a separate proposal.

System Administration

We agree to meet all service delivery requirements agreed upon in this contract.

We will meet response times associated with the priority level of incidents and the due dates of requests.

We will keep business hours of Monday through Friday, 8:00 AM to 5:00 PM, excluding federal holidays.

Tickets can be entered 24 hours a day, 7 days a week, and will be processed on the next business day.

We will assign and acknowledge all help requests within 4 business hours of receipt. Response times for service requests will vary.

Priority of incidents will be listed as urgent based on the following criteria:

  • Risk to life and safety
  • Impact on delivery of work products
  • Risk to law, rule, or policy compliance
  • Significant number of people affected
  • Percentage of tasks that can not be performed by staff

We will notify clients of all scheduled maintenance.

Confirmation of Terms of Service

Please sign and return the attached copy of this letter to indicate that it is in accordance with your understanding of the arrangements. This letter is effective for future years unless any change is communicated.
