General Property Management

Once a tenant is established, we will continue to work to keep your property clean, maintained, and in good working order. Our property managers have the customer service, negotiation, and organizational skills to ensure that all tasks are completed efficiently and without error.

The following tasks fall under our monthly fee:

  • Collecting rents
  • Paying applicable expenses and taxes
  • Enforcing occupancy rules
  • Confronting violators
  • Responding to emergencies
  • When necessary, evicting tenants
  • When necessary, finding new tenants
  • Addressing complaints and answering questions from tenants
  • Coordinating and communicating the landlord’s wishes
  • Periodically reporting to the landlord

With the care of your property as our responsibility, we strive to operate with accountability and honesty at all times. We employ only experienced, vetted property managers who consider the care of your property their priority.

Marketing and Establishment of New Tenant

Though we adhere to certain standards in the management of every one of our properties, we also realize that each agreement is as unique as the real estate to be managed. Our professional team is skilled in sales, negotiations, customer service, territory management, and communications.

To facilitate the operation, control, and oversight of your property, we will complete the following tasks.

  • Establish the appropriate rental rate based on local rental data, overhead, depreciation, taxes, and profit goals.
  • Inspect and repair vacant units to prepare for rental.
  • Attract tenants by advertising vacancies that explain the advantages of the location and services, and, when possible, by obtaining referrals from current tenants.
  • Schedule open houses and show properties to interested potential tenants.
  • Negotiate leases and collect security deposits.
  • Coordinate inspection, renovation, and repair of properties.
  • When necessary, organize litigation with tenants, contractors, or insurance agencies.
  • Contract with services for maintenance, grounds keeping, snow removal, and security.
  • Establish and enforce rental policies and procedures.

Each property brings unique advantages and challenges. For example, if your property is located in a region with severe weather, emergencies and damages may be more common. If you are part of an affordable housing or other program, complications may arise around renting your property.

Our staff is current with municipal, state, and federal housing laws and policies. We have the experience to deal with the myriad difficulties that could appear. You can trust us to take every precaution in managing and maintaining your real estate.

Dear {{ client.name }},

This letter serves to confirm our understanding of the terms of our engagement. It also stipulates the type of services that we will provide and any limitations to those services.

Purpose, Scope, and Deliverables

We will provide property management services, including marketing and establishment of new tenants and maintenance, security, and communications for all properties under this agreement.

Project Period of Performance

The start date is {{ proposal.commencement_date }} and the completion of the project will take place on {{ proposal.end_date }}. Work will only take place outside of these dates if agreed upon by both parties in an additional written contract.

Accountability

Any information that we acquire from the client will be kept confidential. We will not disclose any information to other parties except as required by law or with the client’s written consent.

Fees

The fees charged are based on mutually accepted rates upon acceptance and by month. This fee arrangement will only be subject to change under the following circumstances (list circumstances which may change the costs of providing the services).

Liability Limitation

Our liability is limited by a Professional Standards Legislation-approved scheme.

Deliverable Ownership

All original documents obtained from the client shall remain property of the client. However, we reserve the right to retain a reasonable number of copies of the originals for our records.

Any hard copy or electronic deliverables produced under this contract will be provided to the client but remain the property of the consulting firm.

Terms of Service

  • The following tasks will be considered the responsibility of the landlord:
    • Setting up and maintaining a reserve fund
    • Obtaining and maintaining the proper insurance
  • The landlord will not place a tenant in the property without the permission of the property management agency.
  • The landlord will not enter the property unless notification has been given to the tenant in advance or with approval from the property manager.
  • The agency supports Equal Opportunity Housing and abides by both state and federal fair housing laws.
  • The property manager’s liability is limited except in cases where negligence is proven.
  • The property manager will not be held responsible for damages caused by a contractor if reasonable care has been taken in hiring a third party contractor.

Contract Termination

To terminate the contract, notice must be given at least 30 days prior. A fee of $2000 is due for early termination of the contract and must be paid within 30 days of contract termination. Cause is not required to terminate the contract. Upon early termination, the property manager must provide the landlord with copies of all leases within 14 days of contract termination.

Confirmation of Terms of Service

Upon agreement with the terms, please sign and return this letter to indicate your understanding of the arrangements. Contract effectiveness is from the date of signing unless any change is communicated between the two parties.
